I am a 3rd year Creative Writing part-time student, full time employed and willing to help others who struggle with time management.
• Assist the Chief Administration Clerk in rendering an efficient and effective administrative support service to the school and the principal’s office: o Answering and making telephone calls on behalf of the principal, and referral of calls appropriately and keeping a telephone register o Receiving and sending faxes, e-mails, typing and copying of documents for the staff o Maintaining a filing system for records of correspondence, manuals, expenditure, inventory, etc. • Assist in rendering financial administration and bookkeeping: o Checking on payments and sending out reminders when parents slip-up on payments. o Receiving money and issuing receipts for the following: School fees, Fund-raising, Rental of equipment and Extra curricular activities • Compile the school term schedules and capturing of learners information into LURITS System; • Providing learner support during exams (IsiNdebele and Accounting), administering First Aid to learners in cases of minor injuries and keeping First Aid inventory and ensuring that there are sufficient supplies in first aid kit • Assisted with school functions, e.g. organising the matric farewell.
• Translate legislation or amended legislation (Bill, Proclamations, Regulations and related instruments) into isiNdebele for Client Departments, Parliament of the Republic of South Africa, Institutions of Higher Learning, PanSALB and all other stakeholders to enable access to legislation by the Public. • Edit and proofread all translated documents and any other documents received in the Unit. o Ensuring 100% quality and accuracy of all translated, edited and proofread documents which are free from language mistakes; • Develop style sheet for my language, which provides basic stylistic aspects. • Collection of terms that do not have equivalents in the target language (isiNdebele) and submitting a list to a Supervisor with excerpted terms and supplied equivalents from translated documents • Formatting of translated legislations i.e. Bills, Amendment Bills, Government Notices, Regulations of Departments, etc.;
• Providing high quality of secretarial and administrative support in both offices: o Manage telephone enquiries; o Manage the DCSLA’s diaries, handle all reservations and appointments; o Arrange and coordinate meetings and take minutes thereof, type reports, memos, minutes and all other correspondences o Make travel, accommodation and other logistical arrangements for the DCSLA’s and the staff in the office; o Set up and maintain an efficient and easily accessible/retrievable filing system; o Photocopying, faxing, binding of books and laminating in the office. • Work Flow Management: o Monitor in/outflow of work for the office of the DCSLA’s; o Scrutinise and extract information from weekly reports of the DCSLA’s teams; o Verification of all memo’s, information, etc. when it comes to the Deputies for signature; o Coordinate and compile consolidated reports indicating all areas of concern for the DCSLA’s. • Doing research and editing researched articles on behalf of the DCSLAs • Manage the components leave register • Processing of claims: o Prepare and process S&T’s, cell phone and all other claims for the DCSLA’s; o Ensure that all claims are processed in accordance with the DOJ & CD and National Treasury prescripts • Management of the Office Equipment: o Procure and submit stationary requirements for the DCSLA’s • IT Support (Log calls for all IT problems, do the necessary follow up) • Asset management (Keep abreast of movement of assets in the office and ensuring that the asset verification is done in accordance with the department’s prescripts)
